How To Add Page Break In Word



Raise your hand if you have ever had problems dealing with Headers & Footers in Microsoft Word. Did you raise your hand? I know I did!

Open the document. Once you’ve found it, double-click the file and it will open in Microsoft Word. 3 Locate and click on the area where you want to insert a line break. Prior to that section of the document I can see the Insert/page break and can insert a page break. After that section of the document, and dispersed throughout the entire document, I keep seeing the (ii) referring to the first (ii) Endnote next to other words in the text.

Insert Page Breaks. The following steps will help you insert page breaks in a Word document. Step 1 − Bring your insertion point immediately before the text that has to appear on a new page. Step 2 − Click the Insert tab, and click the Page Break button available in the Pages group. Word inserts a page break and moves all text after the. Open your document in Word and find the part where you want to insert a page break. Click into your document where you want the break to happen. Navigate to the Layout tab.

My boss emailed me a couple weeks ago. “Lauren, can you remove the 3rd page? Every time I try, the footer disappears.” “Not a problem,” I replied, “see attached…” Yes, it took me a good 30 seconds to remove the page and fix the footer. His response, and I quote “Thanks, now you’re making me look incompetent!” I thought it was quite funny, I knew something he didn’t, but then again, while he was punching numbers and selling ERP, I was learning the ins and outs of Headers and Footers.

I’m going to share something with you. There are 2 tools that make or break your Headers and Footers; can you guess what they are? I’ll tell you, they are the type of Page Break you use and the button, Link to Previous. Yep, that’s all, those two things can make or break your entire document.

Step by Step procedures in creating Headers & Footers

Let’s begin by creating a new document, then inserting your Header. Go to the Insert menu and then Header button.
After you click on the Header button, a drop down menu will appear with a variety of options.

We will work with the “Standard Blank” selection in this demonstration.

Once you have selected Blank Header, you can start building your Header.

  • You can add Pictures or Your Logo (Green Arrow)
  • Adjust the Header/Footer Margins (Blue Arrow)
  • Or, just begin typing in the Header section (Red Arrow)

When you have finished editing your Header, click on the Red Box with the X (Black Arrow) to close the header area, or simply double click anywhere else in the document.

  • Other tools include:
    • Adding a different header to first page rather than on the second page
    • Using alternating headers to odd or even pages.

I have inserted our Crestwood Logo, right justified. Next, we will look at how to add a Footer.

Just follow the same steps to add a Footer as you did with adding your Header. Insert > Footer > Blank

Type in your Footer Information. Please note, you can add graphics, text, tables etc. I like to use tables because it keeps all of Crestwood’s locations aligned properly.

Page and Section Breaks

I will try to make this short and sweet, but I can’t guarantee you will get this on the first try. We will start with the basics, what each tool can do for you:

Page Breaks:

  • Page – is the standard next page break. Use this when you want your Header/Footer to remain the same on each page.
  • Column – will not be used in creating Header/Footers
  • Text Wrapping – will not be used in creating Header/Footers
Section Breaks
  • Next Page – Insert a section break and start a new section on a new page. Use this when you want to create a different Header/Footer on each page
  • Continuous – Insert a continuous break when you want to start a new section on the same page. This is typically used when jumping from a single column page to a 2-3 column page.
  • Even Page – Insert a section break and start a new section on an even-numbered page.
  • Odd Page – Insert a section break and start a new section on an odd-numbered page.

Designing your Header or Footer

  1. When editing your Header or Footer, you can add different widgets, such as page numbers, date & time, document info, or other quick parts.
  2. You can modify your Header or Footer to have a different first page.
  3. You can modify your Header or Footer to have one style on odd pages and another style on even pages.
  4. The most important step in modifying Headers or Footers is whether or not you want them to Link to Previous. This tool makes or breaks your Headers and Footers, so be sure to have all of your page breaks and section breaks placed properly. Clicking Link to Previous will set your Header or Footer to the previous section’s Header or Footer.

As you type, Microsoft Word wraps content to the next line when you reach the right margin. In the same way, Word automatically knows when to start a new page. Now, you probably know that you can force a new page by pressing Ctrl+Enter; this is called a hard page break, and you should avoid them when possible. The truth is, you seldom need to force a page break even when you need content to start on the next page before filling the previous page. In most cases, you can change a style instead. In this article, I'll show you one way to avoid a forced page break by changing a style.

Avoid hard page breaks

In a short, one-off document, you don't need to worry about hard page breaks. However, in a longer, more complex document, hard page breaks can keep the document from flowing properly as you make changes. They're not difficult to delete of course: Position the cursor at the beginning of the page and press Delete. If you can't find them, click Show/Hide in the Paragraph group on the Home tab. It will be tedious, especially if there are a lot of them.

There's an easier way: Think of a way you can modify the styles in use to accommodate those hard page breaks instead. I know some of you just shuttered at the idea of modifying a style, but trust me: It's easier than you think.

How to modify Heading 1 in Word

An odd hard page break might be necessary, but they should be the exception. If you're forcing page breaks often, consider rethinking this formatting choice. For instance, it's common to start a new section on a new page and use a heading style for the section heading. If you find yourself forcing a page break every time you start a new section, modify the style instead.

Now, let's continue this example by modifying the built-in Heading 1 style to include a page break before the heading. You can do so as follows:

  1. On the home tab, right-click Heading 1 in the Styles gallery and choose Modify. It should be there, but if it isn't, click the Styles group dialog launcher. In the resulting Styles pane, find Heading 1 and choose Modify from its dropdown list, as shown in Figure A.
  2. Click the Format button (bottom-left corner) and choose Paragraph from the resulting dropdown list (Figure B).
  3. Click the Indents and Spacing tab and make sure the Spacing Before setting is 0.
  4. Click the Line and Page Breaks tab and check the Page Break Before option, as shown in Figure C.
  5. Click OK twice to return to the document.

After modifying the style, enter heading text and apply Heading 1. When you do, Word will automatically force a new page, but it will be a soft break that flows with changes. If you're working in an existing document with lots of hard page breaks before Heading 1-styled text, you must find those page breaks and delete them after modifying the style or you'll end up with two page breaks before every Heading 1-styled heading.

How to remove unnecessary hard page returns in Word

If you need to delete a lot of hard page returns, you can use Word's Replace feature as follows:

  1. Press Ctrl+H to open the Replace dialog.
  2. In the resulting dialog, click More (if necessary).
  3. Click the No Formatting control if it isn't dimmed. (Replace remembers the previous settings.)
  4. Remove any previous content in the Find What control.
  5. Click Special and choose Manual Page Break from the list. Doing so will enter ^m in the control, which is a visual representation of a hard page break.
  6. Remove any previous content in the Replace With control, and leave it empty.
  7. Click Find Next and then Replace, accordingly, to work through the document. If you're positive there are no necessary hard page breaks, click Replace All.

The best scenario is to plan for these page breaks by modifying the style before you start writing. When you can't, alter the style and remove the page breaks as shown.
